Privacy Policy

Mail Zero ("we," "us," or "the Service") is committed to protecting your privacy. This Privacy Policy explains what information we collect, how we use it, and your rights regarding that information.
1. Information We Process
When you use Mail Zero, you upload a Gmail Takeout export file (.mbox or .zip). During processing, the Service temporarily accesses the following email metadata:
- Sender information – name and email address from the "From" header
- Date – the date each email was sent or received
- Gmail labels – labels assigned to messages (e.g., Inbox, Sent, custom labels)
We do not read, extract, store, or process the body (content) of your emails. While the full file transits our server during upload, only the metadata listed above is extracted for analytics.
2. Information We Do NOT Collect
- Email message bodies or content
- Attachments
- Passwords or account credentials
- Personal identity documents
- Payment or financial information
3. How We Process Your Data
Your data is processed as follows:
- You upload your file to our server via an encrypted HTTPS connection.
- The file is held in server memory only – it is never written to disk or stored in a database.
- Our parser extracts email metadata and computes analytics (top senders, domains, volume over time, etc.).
- The analytics results are returned to your browser as JSON.
- Once the response is sent, the data is immediately discarded from server memory. There is no persistence layer.
4. Data Retention
We retain none of your email data. There is no database, no file storage, and no logging of uploaded content. Your data exists in server memory only for the duration of a single HTTP request (typically seconds to a few minutes, depending on file size) and is then discarded.
5. Data Sharing
We do not sell, rent, share, or disclose your email data to any third party. Period.
Our infrastructure provider (Render) hosts the Service but does not have access to the content of your uploaded files during processing.
6. Cookies & Tracking
Mail Zero does not use cookies or tracking pixels. We use Umami Cloud for basic website analytics (page views, which pages are visited). Umami is privacy-focused: it does not use cookies, does not collect personal data, and does not track you across other websites. We use this information only to understand how the product is used and to improve it.
7. Server Logs
Our hosting provider may collect standard server access logs (IP address, request timestamp, HTTP method, and response status code). These logs are managed by the hosting provider and are not used by Mail Zero to identify individual users. These logs do not contain any of your email data.
8. Security
We take reasonable measures to protect your data during processing. For detailed information about our security practices, please see our Security page. Key measures include:
- HTTPS encryption for all data in transit
- No persistent data storage
- In-memory-only processing
- File type and size validation
9. Your Rights
Because we do not store any of your data, many traditional data-subject rights (access, correction, deletion) are inherently satisfied – there is simply no stored data to access, correct, or delete.
Under applicable privacy laws (including GDPR and CCPA), you have the right to:
- Know what data we process – described in this policy
- Opt out – by simply not using the Service
- Request deletion – not applicable, as we retain no data
- Non-discrimination – we do not discriminate based on your exercise of privacy rights
10. Children's Privacy
The Service is not intended for children under 16. We do not knowingly collect or process data from children under 16. If you believe a child has used the Service, please contact us.
11. International Users
The Service is hosted in the United States. If you are accessing the Service from outside the United States, please be aware that your data will be transferred to and processed in the United States. By using the Service, you consent to this transfer.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date at the top indicates the most recent revision. Your continued use of the Service constitutes acceptance of any changes.
